The role requires strong practical knowledge of UAE accounting and tax requirements, alongside working knowledge of UK accounting and compliance. Working closely with our CFO, you will ensure that financial records are accurate, invoices and payments are processed on time, compliance deadlines are tracked, and financial issues are identified and escalated promptly. You will also take over existing finance activities through a structured handover and establish reliable accounting processes across both jurisdictions. Key Responsibilities 1. Accounting Operations & Financial Controls • Manage day-to-day bookkeeping and accounting records across the relevant UAE and UK entities using Xero. • Record transactions, maintain accurate ledgers, and complete bank and payment-platform reconciliations. • Manage supplier invoices, accounts payable, expense claims, subscriptions, and recurring commitments. • Prepare payment requests and payment batches in accordance with approved controls and authorised signatories. • Complete month-end accounting schedules, including accruals and prepayments where applicable. • Maintain organised, accurate, and audit-ready financial records. 2. Client Invoicing & Collections • Issue accurate and timely client invoices, recurring invoices, credit notes, and billing adjustments in line with contracts and approved billing schedules. • Coordinate with Sales, Customer Success, and Operations to confirm billing requirements and resolve missing information or discrepancies. • Track incoming payments, reconcile receipts, and maintain an accurate accounts receivable ledger. • Proactively contact customers regarding overdue invoices, follow up on payment commitments, and chase outstanding payments. • Communicate directly with customers to resolve billing queries, payment delays, and other finance-related issues. • Maintain professional customer relationships while ensuring timely collection of outstanding balances. • Provide weekly updates on aged receivables, expected payment dates, and collection issues, escalating unresolved disputes and collection risks to the CFO. 3. UAE & UK Accounting, Tax & Compliance • Manage day-to-day UAE accounting and applicable VAT and Corporate Tax administration, including supporting records, reconciliations, registrations, filing deadlines, and relevant FTA/EmaraTax submissions within the agreed scope. • Maintain UK accounting records and prepare supporting schedules for VAT, Corporation Tax, statutory accounts, and Companies House requirements. • Coordinate UK PAYE, National Insurance, and HMRC-related payroll requirements with the CFO. • Maintain a calendar of relevant tax, payroll, and statutory deadlines across both jurisdictions. • Identify and escalate potential compliance issues and ensure supporting documentation is available for audits and tax reviews. 4. Payroll & International Payments • Coordinate monthly payroll inputs, employee and contractor payments, reimbursements, and payroll reconciliations. • Review contractor invoices and supporting documentation before preparing payments for approval. • Coordinate with People/HR on employee starters, leavers, and approved compensation changes. • Maintain accurate multi-currency records, including AED and GBP, and reconcile international payment-platform transactions and foreign-exchange differences where applicable. 5. Financial Reporting & Cash Flow • Prepare monthly management accounts and supporting profit-and-loss, balance-sheet, and cash-flow schedules for CFO review. • Monitor bank balances, incoming payments, outstanding receivables, payables, and upcoming financial commitments. • Support budget-versus-actual reporting and forecast updates with accurate financial data. • Identify unusual transactions, cost variances, overdue debt, cash-flow risks, and weaknesses in financial controls. • Provide timely financial updates and promptly escalate material discrepancies or risks to the CFO. 6. Finance Handover & Process Improvement • Complete a structured handover covering Xero, banking, payment platforms, invoicing, payroll, tax calendars, and outstanding financial matters. • Review existing records and identify discrepancies, missing documentation, overdue items, and process gaps. • Establish reliable routines for reconciliations, month-end closing, client invoicing, collections, and financial reporting. • Maintain clear documentation of financial processes, upcoming obligations, and outstanding issues. Required Experience & Qualifications • At least 5 years of hands-on accounting experience, including substantial responsibility for accounting operations within a UAE-based business. • Strong practical knowledge of UAE accounting, VAT, Corporate Tax, FTA procedures, and applicable compliance requirements. • Working knowledge of UK accounting and compliance, including VAT, PAYE, National Insurance, HMRC, Companies House, and Corporation Tax. • Proven experience in accounts payable and receivable, client invoicing, collections, bank reconciliations, month-end closing, and financial reporting. • Experience coordinating payroll and international payments. • Practical proficiency in Xero. • Excellent written and spoken English. • Strong numerical accuracy, organisation, confidentiality, and attention to detail. • Ability to work independently, manage deadlines, and communicate financial issues clearly.
