NNC is looking for an experienced, highly organised and resourceful Executive Assistant to C-Level Leadership to provide comprehensive support across three key areas: Executive Assistance and Business Support. This is not a traditional administrative role. We are looking for someone who can operate as a trusted extension of the executive office—protecting leadership time, anticipating needs, managing priorities, coordinating across teams, conducting research, preparing executive-level materials and ensuring important decisions and actions are followed through from start to finish. The ideal candidate is proactive, discreet, solutions-oriented and consistently two steps ahead, with the maturity, judgment and ownership required to work closely with C-level leadership in a fast-moving environment. Executive Assistance • Manage complex calendars, meetings, appointments and competing priorities across C-level leadership. • Protect executive time by assessing what genuinely requires leadership attention and what can be handled elsewhere. • Coordinate internal and external meetings, including agendas, briefing materials, meeting notes, decisions and next steps. • Ensure executives have the right information and context before important meetings. • Manage and prioritise incoming communications, requests, invitations and follow-ups. • Liaise with internal teams, clients, partners and senior external stakeholders on behalf of leadership. • Track commitments, decisions, deadlines and action points through to completion. • Flag risks, delays, unresolved issues and scheduling conflicts early. • Draft professional correspondence and executive communications when required. • Handle sensitive and confidential information with the highest level of discretion. Travel & Executive Logistics • Manage domestic and international business travel, including flights, accommodation, transportation, visas and detailed itineraries. • Coordinate executive attendance at conferences, events, client meetings and external engagements. • Anticipate logistical risks, schedule conflicts and travel disruptions. • Ensure all required documents, materials and meeting information are prepared in advance. Personal Assistance • Manage personal appointments, reservations, travel arrangements and schedules when required. • Coordinate documentation, renewals, applications, bookings and related administrative requirements. • Liaise with external service providers and relevant parties on personal matters. • Handle ad hoc personal requirements proactively and discreetly. • Maintain clear organisation and strict confidentiality across personal matters. Business Support • Support leadership in monitoring strategic initiatives, priority projects and management-level actions. • Coordinate with department heads and internal teams to obtain updates, reports, information and deliverables. • Maintain clear visibility on progress, ownership, deadlines and outstanding decisions. • Conduct market, industry, competitor and business research to support strategic discussions, opportunities and decision-making. • Prepare presentations, executive briefings, reports, summaries and materials for internal and external meetings. • Turn large amounts of information into concise, decision-ready summaries. • Support leadership meetings, business reviews, proposals, special projects and cross-departmental initiatives. • Build and maintain trackers, dashboards and progress summaries where required. Executive Office & Stakeholder Management • Act as a central coordination point between C-level leadership, internal teams and external stakeholders. • Build effective working relationships with department heads, clients, partners, suppliers and senior contacts. • Represent the executive office with professionalism, diplomacy and confidence. • Handle competing requests while protecting priorities and relationships. • Know when to resolve an issue independently and when escalation is required. • Help maintain a clear executive operating rhythm across meetings, priorities, approvals and follow-through. • Identify and improve processes that reduce unnecessary administrative friction. AI & Digital Productivity • Use tools such as ChatGPT, Claude, Gemini or comparable platforms to support research, summarisation, drafting and information organisation. • Use AI to prepare executive briefings, synthesise meeting notes and extract actions where appropriate. • Build repeatable workflows for recurring executive-office tasks. • Identify opportunities to automate repetitive administrative work. • Verify important information independently before relying on AI-generated outputs. • Protect confidential and sensitive information when using AI or digital tools. • Continuously explore tools that improve executive-office speed, clarity and effectiveness. Qualifications & Skills • Minimum 5 years of experience supporting C-level executives or senior leadership in an Executive Assistant, Senior Executive Assistant, Personal Assistant or similar capacity. • Proven ability to manage executive, personal and business support responsibilities simultaneously. • Bachelor’s degree in Business Administration, Management, Communications or a related field is preferred. • Excellent written and verbal communication skills in Arabic and English. • Exceptional organisation, planning, prioritisation and follow-up skills. • Strong professional judgment and decision-making ability. • High emotional intelligence and stakeholder awareness. • Ability to anticipate needs without waiting for direction. • Excellent attention to detail with strong awareness of broader priorities. • Strong presentation-development, research and business-writing capabilities. • Advanced proficiency in Microsoft Office, particularly PowerPoint, Outlook, Word and Excel. • Strong proficiency in Google Workspace and modern collaboration tools. • Hands-on experience using AI tools to improve research, organisation, drafting and productivity. • Ability to communicate confidently with senior internal and external stakeholders. • Ability to remain calm and effective when priorities change quickly.
