Role Overview We are seeking a highly organized, proactive and professional Executive Assistant to support the CEO based in Dubai. The ideal candidate will thrive in a fast-paced startup and international environment, manage multiple priorities with discretion, and provide reliable executive and office support across different time zones. Key Responsibilities • Provide comprehensive executive support to the CEO, including calendar management, scheduling across multiple time zones, email correspondence and follow-ups. • Maintain timely email correspondence, with an expected response and coordination cycle within 12 hours where required. • Coordinate travel arrangements and itineraries through the company travel agent; CEO travel may be around once per month, and the EA is not expected to travel with the CEO. • Track expenses, bookings, administrative requests and day-to-day follow-ups with accuracy and confidentiality. • Oversee office management in Dubai, ensuring the office is organized, well-equipped and running efficiently, including stationery, contractors, suppliers and facilities support. • Organize new initiatives and events in Dubai, including team-building activities and collaborative workspace arrangements. • Serve as a backup to the Team Assistant as needed. • Handle occasional private administrative matters within professional boundaries, such as arranging doctor appointments, coordinating property repairs, paying internet bills, and occasionally arranging pick-up of clothes, gifts or similar errands. Working Hours & Flexibility • The role does not have a fixed start and end time; however, the candidate must be available Monday to Friday between 10:00 AM and 4:00 PM. • The candidate should follow the CEO schedule and remain flexible for urgent ad hoc requirements when needed. • The CEO may work from the Prague office during the summer, which is 2 to 3 hours behind Dubai, and may also travel to the USA; earlier or adjusted hours may occasionally be required. Candidate Profile • Proven experience as an Executive Assistant, Personal Assistant or similar executive support role. • Exceptional organizational skills and the ability to manage complex schedules effectively. • Strong attention to detail and accuracy across all tasks. • Professional demeanor with discretion in handling confidential information and representing the company. • Ability to thrive in a dynamic, fast-paced startup environment. • Fluent English communication skills, both written and spoken. • Russian-speaking capability is a strong advantage, but not mandatory. • Experience in a startup, tech, crypto/Web3 or international environment is a plus. • No specific nationality, gender or age preference; selection will be based on experience, skills and role fit.
