Logistics Coordinator

Job Summary: To manage and coordinate the movement of rental equipment (AWP, Earthmoving, Scaffolding, etc.) across yards, customer sites, and maintenance facilities. Responsible for ensuring timely delivery, collection, and availability of machinery while optimizing fleet utilization, minimizing transport costs, and supporting operations and sales functions. Key Responsibilities: Fleet & Equipment Movement • Plan and coordinate daily transportation of rental equipment. • Schedule deliveries, replacements, relocations, and collections efficiently. • Coordinate with transporters, drivers, and yard teams to ensure on-time movements. Logistics & Route Planning • Optimize vehicle routing and load planning to reduce idle time and costs. • Monitor transportation KPIs (on-time delivery rate, turnaround time). • Track GPS and fleet movement for improved planning and reporting. Cross-Department Coordination • Collaborate with Sales, Service, and Operations teams for scheduling and job planning. • Communicate equipment availability and movement status clearly across teams. • Support Sales in urgent deliveries and customer commitments. Documentation & Compliance • Prepare and maintain logistics documents (delivery notes, collection reports, gate passes, movement permits). • Ensure compliance with local transport regulations and company SOPs. • Maintain equipment movement tracker and update ERP/system records. Vendor & Transporter Management • Coordinate with third-party transporters and monitor their performance. • Negotiate transport rates and maintain cost control. • Track transporter invoices and reconcile movements with billing. Inventory & Yard Coordination • Monitor yard stock of available, under-maintenance, and rented equipment. • Coordinate internal transfers between branches for demand balancing. • Support asset team in physical audits of equipment. Reporting & Optimization • Generate weekly/monthly reports on movements, transporter costs, and utilization. • Identify gaps and suggest process improvements for logistics efficiency. • Support management with logistics planning for new projects or peak seasons. Key Skills & Competencies • Knowledge of equipment rental operations (AWP / Earthmoving / Heavy Equipment). • Strong coordination and communication skills. • Planning and scheduling abilities. • Cost control and negotiation skills. • ERP / logistics tracking system experience. Qualifications & Experience: • 3–6 years of experience in logistics within the rental or heavy equipment industry. • Experience handling inter-branch equipment movements across the UAE. • Bachelor's degree in Logistics, Supply Chain, Business, or related field (preferred). • Relevant logistics/supply chain certifications are an advantage.
