Executive Personal Assistant & Fashion Coach Company: 1XL L.L.C-FZ Location: Dubai, United Arab Emirates (In-Office) Employment Type: Full-Time Working Hours: Monday to Saturday | 10:00 AM – 7:00 PM Reports To: Ms. Jivika Dhiraj Jain, Co-Founder, 1XL Holdings L.L.C-FZ Job Purpose The Executive Personal Assistant & Fashion Coach is responsible for providing comprehensive executive, administrative, personal, and creative support to the Founder while actively contributing to the growth and development of the company’s fashion initiatives. This role requires exceptional organizational skills, unwavering professionalism, absolute discretion, and a highly creative mindset to manage multiple competing priorities in a dynamic business environment. The successful candidate will serve as a trusted partner to the Founder by ensuring seamless coordination of daily operations, managing complex schedules, facilitating corporate communication, supporting fashion design and styling activities, and driving the successful execution of strategic business initiatives. Key Responsibilities 1. Executive & Personal Assistance • Manage the Founder's daily calendar, appointments, international travel itineraries, accommodation, transportation, and business engagements. • Coordinate internal and external meetings; prepare comprehensive agendas, presentations, briefing notes, and meeting minutes. • Track action items and ensure timely follow-up on corporate commitments and pending matters. • Screen and prioritize emails, phone calls, and corporate correspondence; draft professional business documents, reports, and presentations. • Handle highly sensitive and confidential information with the utmost integrity and discretion. • Maintain an efficient filing and document management system, alongside managing business and personal expense records, receipts, and reimbursements. 2. Executive Coordination & Productivity Management • Monitor the Founder's daily, weekly, and monthly strategic priorities to ensure alignment. • Ensure timely completion of cross-departmental projects through regular progress tracking and follow-ups. • Coordinate communication channels between internal departments and external stakeholders. • Prepare progress reports, identify potential workflow bottlenecks, and recommend process improvements to enhance operational efficiency. 3. Fashion Coaching & Personal Styling • Provide professional wardrobe consultation, wardrobe management, and personal styling recommendations to align with the Founder's brand identity. • Plan and curate tailored wardrobes for business meetings, media appearances, public engagements, events, and travel. • Maintain continuous knowledge of international fashion trends, luxury brands, designers, fabrics, and seasonal collections through rigorous market research. 4. Fashion Design & Brand Development • Support the Founder in conceptualizing and developing fashion collections by preparing mood boards, design concepts, and creative presentations. • Coordinate fabric sourcing, trims, accessories, and production materials. • Liaise with designers, tailors, pattern makers, suppliers, and manufacturers to maintain strict quality standards during garment fittings and production phases. • Monitor production timelines to ensure the punctual delivery of samples and finished products. 5. Marketing, Events & Business Operations Support • Coordinate logistics, schedules, and guest lists for fashion photoshoots, campaigns, exhibitions, product launches, and promotional events. • Liaise with creative stakeholders, including photographers, stylists, makeup artists, influencers, and creative agencies. • Support day-to-day business operations, maintain inventory and sample documentation, and assist with vendor procurement. • Act as a primary, professional point of contact for selected clients, investors, and business associates on behalf of the Founder. Qualifications & Experience • Education: Bachelor's Degree in Fashion Design, Fashion Management, Business Administration, Marketing, Communications, or a related discipline. Professional certification in Fashion Styling or Image Consulting is highly advantageous. • Experience: Minimum of 3–5 years of proven experience as an Executive Assistant, Personal Assistant, Fashion Coordinator, or Fashion Stylist. Previous experience supporting founders, C-suite executives, or working within the luxury, lifestyle, retail, or creative industries is strongly preferred. Required Skills & Competencies • Core Skills: Outstanding written and verbal communication skills in English; impeccable interpersonal and relationship management abilities. • Attributes: High level of discretion, strong multitasking capability, exceptional attention to detail, and a solution-oriented, proactive mindset. • Technical Proficiency: Expert knowledge of Microsoft Office Suite, Google Workspace, and scheduling software. Proficiency in Canva, basic knowledge of Adobe Creative Suite, and a strong command of professional social media platforms (LinkedIn, Instagram, Pinterest) are required.
