Performs administrative secretarial function to the Department assigned. Screening telephone call, inquiries and handling them when appropriate. Type memos, letter and any other related correspondence of the Department. Manage/ Process work related requests by the staff in the department i.e. Material requests, vacation leave overtime, etc. Organizing and attending departmental committee meetings as well as taking minutes. Filling documents in sequence and maintains an existing filling system for correspondence through electronic or data base. Filing personal data of medical staff in the department and updated from time to time. Preparation of visual aids for presentation e.g. continuing medical education program, symposiums, internal and external using Microsoft Power Point and over various graphic programs via slide, projector, overhead and data show requested. Develops and coordinates the Quality Improvement Program within his/ her area of responsibilities. Fully aware and actively implement the departmental policies and procedures, local and international accreditation standards or requirements related to the department. Actively involves in indicator development, data collection for the department and to measure the performance of the function, process, and outcome. Whenever required, conducts analysis and interpretation of data/information collected. Participate in hospital Safety Management & Risk Management Programs. Actively reports incidents in the system and whenever needed, participates in incident review, and root cause analysis. Performs any other duties within the range of his/her professional knowledge and skills as directed. Requirements: 0- 2 years of experience in the related field Diploma in Secretarial or any related field
