Job Summary: We are looking for an organised and detail-oriented HR & Payroll Administrator to support the day-to-day HR and payroll operations. The role will be responsible for maintaining accurate employee records, coordinating payroll activities, supporting employee lifecycle processes, and ensuring HR data is accurately maintained in Microsoft Dynamics 365 (D365). The ideal candidate will have hands-on experience in HR administration and payroll, strong attention to detail, and good knowledge of HR processes and systems. Key Responsibilities: Recruitment & Talent Acquisition • Coordinate the end-to-end recruitment process for assigned positions. • Prepare and publish job advertisements through appropriate recruitment channels. • Source and screen candidates and conduct initial HR interviews. • Coordinate interviews between candidates and hiring managers. • Maintain candidate records and recruitment trackers. • Communicate with candidates throughout the recruitment process and provide timely updates. • Coordinate reference checks, background checks and pre-employment documentation where required. • Prepare and coordinate employment offers and coordinate the onboarding process for new employees. • Maintain accurate recruitment reports and provide regular updates on vacancies and hiring progress. HR Administration • Manage day-to-day HR administration and maintain accurate employee records. • Manage the employee lifecycle, including onboarding, transfers, promotions, salary changes and terminations. • Prepare employment contracts, HR letters, certificates and other employee documentation. • Ensure employee records and HR documentation are complete, accurate and up to date. • Coordinate new joiner documentation, onboarding formalities and HR inductions. • Maintain and update employee files in accordance with company policies and applicable regulations. • Manage employee leave, attendance and other HR-related records. • Respond to employee HR queries and provide timely support on HR-related matters. • Support annual HR processes, including performance reviews, salary reviews and other HR initiatives. • Prepare HR reports and provide accurate employee data and analysis to management. • Ensure confidentiality and appropriate handling of employee information. Payroll Administration • Coordinate the monthly payroll process and ensure all payroll inputs are complete and accurate. • Prepare and validate payroll inputs, including salaries, allowances, overtime, deductions, leave, new joiners, transfers and employee exits. • Review payroll reports and identify and resolve discrepancies before payroll submission. • Coordinate with payroll providers, Finance and relevant stakeholders on payroll-related matters. • Ensure all payroll changes are supported by the appropriate approvals and documentation. • Respond to employee payroll queries and provide clarification on salary, deductions and other payroll matters. • Maintain payroll trackers and prepare payroll-related reports as required.
