Job Purpose: Manage administrative and personal tasks for the Chairman as well as the Leadership Team. Supervise and manage the Office Manager and the Receptionist. Facilitate seamless operations within the DIFC office. This role entails interactions at a high level and exposure to confidential corporate and personal information, demanding good judgment, and confidentiality. Due to the nature of the position, availability outside of office hours may be required (including weekends, holidays etc.). Responsibilities • Manage Chairman emails and schedule (organize and prioritize messages, send replies as needed). • Manage Chairman’s personal affairs (i.e., travel and accommodation, personal shopping, personal records, documents and payments, managing residence, yacht crew payroll, liaise with private jet crew, driver supervision, Personal Trainer travel coordination, etc.) • Manage the Leadership Team’s personal affairs (e.g., calendar, appointments and office meetings, medical insurance reimbursement, schedule medical appointments etc.) • Manage Leadership Team’s work-related initiatives and projects as needed (e.g., Company travel, Company dinner/meetings, preparing work itineraries etc.) • Lead the DIFC Office Admin. team (managing Company Events, purchases, office cleaners, office maintenance etc.) • Maintain confidential records (e.g., contracts, NDAs etc.) • Manage Ad-Hoc projects as requested by Line Manager. • Adhere to company values (excellence, integrity, relationships, accountable) Qualifications • Bachelor's degree or equivalent experience • 5+ years Executive Assistant experience, preferably in Dubai • Proficient in Microsoft Office suite • Experience in managing multiple priorities, administrative coordination, and logistics • Well-organized, detail-oriented, ability to multi-task with great follow-up skills • English fluency is necessary Show more Show less
