Reports To: Chief Executive Officer (CEO) Employment Type: Full-Time Position Overview Excellent communication in English is highly required, along with confidence in telephonic communication with all parties. Candidates should also possess HR knowledge. We are seeking a highly experienced, proactive, and digitally advanced Executive Secretary to provide comprehensive executive, strategic, and operational support at the Group level. This is a high-pressure, high-visibility role requiring exceptional organizational capability, strong business acumen, discretion, and advanced digital literacy — including the effective use of AI tools to enhance productivity, reporting, communication, and decision support. The successful candidate will act as a trusted partner to the CEO, ensuring seamless management of priorities, strategic coordination, and intelligent workflow optimization. Key Responsibilities1. Executive & Strategic Support • Manage and optimize the CEO’s calendar, priorities, and time allocation. • Prepare executive briefings, dashboards, presentations, and analytical summaries. • Track strategic initiatives and ensure cross-functional alignment. • Anticipate executive needs and proactively resolve scheduling or operational conflicts. • Assist in strategic planning documentation and follow-up on CEO directives. 2. AI & Digital Productivity Enablement Utilize AI tools (e.g., ChatGPT, Microsoft Copilot, automation platforms) to: • Draft and refine executive communications. • Summarize reports and meetings. • Generate structured presentations. • Analyze data trends and prepare executive insights. • Automate recurring administrative tasks. Additional responsibilities include: • Implement workflow automation to improve efficiency in the CEO’s office. • Maintain organized digital filing systems and smart document management. • Support data-driven decision-making through structured reporting. • Stay updated on emerging AI and digital productivity tools relevant to executive management. 3. Stakeholder Coordination Serve as the key coordination point between the CEO and: • Senior leadership team • Board members • Government entities • Investors and strategic partners • External consultants Additional responsibilities: • Ensure timely follow-up on action items and strategic decisions. • Manage sensitive and confidential communications with discretion. 4. Communication Management • Draft, review, and manage high-level correspondence and official communications. • Screen and prioritize incoming communications. • Prepare speeches, talking points, and briefing materials. • Maintain strict confidentiality in handling corporate information. 5. Meeting, Reporting & Travel Management • Organize executive meetings and prepare structured agendas. • Record minutes and ensure action tracking. • Prepare executive dashboards and performance summaries. • Manage complex local and international travel arrangements. • Provide pre-meeting intelligence and background research. 6. Operational Oversight • Monitor execution of CEO directives across departments. • Coordinate cross-functional projects. • Maintain structured reporting systems. • Assist in budget monitoring and expense oversight for the CEO’s office. Qualifications & Experience • Bachelor’s degree in Business Administration, Management, or a related field. • Minimum 5–7 years of experience supporting a CEO or C-level executive. • Experience within a group or multi-entity structure preferred. • Strong exposure to corporate governance and executive-level reporting. • Demonstrated experience using AI tools and digital productivity platforms. • Advanced proficiency in MS Office (PowerPoint, Excel, Outlook). • Familiarity with CRM, ERP, and reporting systems is an advantage. • Excellent English communication skills (Arabic is a plus). • HR knowledge is required.
