Executive Assistant (Part-Time, Dubai) with IRG Media Rate $25-35 USD / hour (DOE) Type Part-time (15–20 hours/week) Location Dubai-based (in-person availability when needed) Reports to CEO (Reyan Gada) Hours Flexible, with overlap on founder working hours Start ASAP Vision for This Role IRG Media is being built between Dubai, Mumbai, the UK, and the cities I travel to — and the operational layer behind that needs someone who can run with me, not just sit at a desk. This is a fast-paced environment, and even though this is a part-time seat, the expectation is that you can kick off new hires, open new projects, and get things moving the day they land on your plate. We don't have time for ramp-up on individual tasks — we need someone who reads a brief and acts. The hiring engine is the first big one. We're scaling the team across multiple roles, and that pipeline needs daily operational ownership — sourcing candidates wherever I am, organising CVs, screening against criteria, scheduling interviews, keeping people warm, and making sure nothing falls through. When I'm in a new market, I'm also actively scouting for talent there. The EA's job is to keep that pipeline alive and moving regardless of which city we're in. The finance engine is the second. I need a reliable rhythm of QuickBooks reconciliation, expense categorisation, business-and-personal account separation, and clean monthly summaries that the fractional finance team can pick up without chasing context. This is the layer that quietly makes or breaks a growing business — and it needs an owner. Around those two, you'll also run the everyday ops: calendar protection, travel and admin, content production logistics, and the general follow-through of a busy CEO's life. The vision is simple: I want to free up the founder time that today gets eaten by hiring ops, finance reconciliation, and admin — so I can spend it on building the company. The right person in this seat absorbs that operational layer entirely, builds the systems that keep it running, and grows with the business. This role is not designed to remain static. As the operational layer scales, the EA scope expands — broader hiring leadership, deeper finance ownership, more content production, and a path to a full-time seat at higher pay. We hire part-time today expecting the right person will earn their way into a much larger seat. This role is pivotal to the next chapter in IRG's story — and to the founder's. About Us IRG Media is one of the fastest growing influencer agencies, founded and led by Reyan Gada — a Dubai-based CEO building IRG into one of the most respected, performance-driven influencer agencies globally. We've gone from 0–7 figures in revenue in just 1.5 years, and we're only just getting started. The founder operates at high velocity across travel, hospitality, wellness, and lifestyle brands — and is increasingly building a personal brand of his own as an operator, investor, and CEO. We move fast, work to tight deadlines, and operate in demanding environments. Everyone has real ownership of their work — our people thrive on accountability, autonomy, and outcomes. The last thing we want is for people to simply 'show up' to work and leave. Good ideas get heard, problems get solved, and people who deliver get recognised. This role exists to free up the founder's time on the things that quietly leak hours every week — calendar, hiring, content, and admin — so he can focus on running IRG, building partnerships, and growing the business. This is a part-time role designed to grow with the business. The right person can absorb more scope and grow into a larger seat over time. The Role This is a part-time Executive Assistant role (15–20 hours per week) supporting the CEO of IRG Media. You will be Dubai-based, working flexibly around your own schedule but with enough overlap with the founder's working hours to handle real-time issues when they come up. Our objective is to free up at least 30% of the CEO's working week within the first 90 days through better calendar architecture, hiring-pipeline ownership, content production support, and reliable admin follow-through. Reporting directly to the CEO, you will be a proven EA with a track record of supporting a founder, partner, or senior executive who travels heavily, runs a fast-moving business, and expects you to think two steps ahead. This role can grow. Strong performers will be offered expanded scope (and hours) as the operational layer scales. Why This Role Exists Now IRG Media has reached approximately $1.1M in annualised revenue, primarily driven by founder-led sales, partnerships, and operations. The founder is also building his personal brand publicly — both require his attention at full capacity. Operating without an EA has worked so far, but scaling beyond this stage requires the founder to operate at much higher leverage — with the obvious operational drag removed from his week. Right now: • Calendar and travel logistics consume disproportionate founder time • Hiring is active across multiple roles, and candidates risk going cold without dedicated pipeline ownership • personal-brand content production currently requires founder hands-on coordination • everyday admin (bookings, reservations, follow-through) leaks into commercial hours The Executive Assistant exists to absorb this operational layer so the founder can spend his time on what only he can do: closing partnerships, leading the team, and setting strategy. What You'll Own 🗓 Calendar & coordination (the foundation) • Own and defend my daily structure — protect deep-work and training blocks, keep meetings in their lane • Schedule, reschedule, and run the time-zone math (I'm in Dubai, much of my team works UK hours) 🧑💼 Hiring pipeline operations • Run the recruitment machine end-to-end on the ops side: source and organise CVs, screen against our criteria, schedule interviews, keep candidates warm, and keep the pipeline moving • Build and maintain our hiring trackers and scorecards so the process gets sharper over time • Make sure no good candidate ever goes cold because something fell through a crack • Source on site or project based recruits based on the CEO’s travel schedule.
