The Contract Administrator / Senior Quantity Surveyor oversees all contractual, commercial, and cost‑management activities throughout the project lifecycle. The role ensures robust contract administration, accurate cost control, timely management of variations and claims, and professional communication with clients and consultants. This position safeguards the company’s commercial interests through structured documentation, proactive risk management, and effective stakeholder engagement. Key Responsibilities Contract Administration • Administer main contracts, subcontracts, supplier agreements, and consultant contracts in accordance with project requirements and company policies. • Prepare, review, and issue contractual notices, correspondences, and formal letters to clients, consultants, and subcontractors. • Maintain comprehensive contract documentation, logs, registers, and compliance records. • Ensure adherence to contractual terms, conditions, deliverables, and timelines. • Support dispute resolution, contractual negotiations, and settlement of commercial matters. Client Correspondence & Communication • Draft and issue formal letters to clients regarding contractual matters, progress updates, variations, claims, and commercial clarifications. • Prepare structured responses to client queries, instructions, and notices. • Ensure all communication is aligned with contractual obligations, FIDIC requirements, and project strategy. • Attend client and consultant meetings to present commercial updates and defend company positions with clarity and professionalism. Cost & Commercial Management • Develop detailed cost plans, budgets, and cash‑flow projections. • Conduct monthly cost reporting, cost‑to‑complete analysis, and commercial performance reviews. • Evaluate and certify subcontractor interim payments, variations, and final accounts. • Monitor expenditures against approved budgets and highlight deviations with corrective actions. • Lead value engineering initiatives and cost‑optimization strategies. Quantity Surveying • Perform detailed quantity take‑offs, BOQ preparation, and cost estimates across all disciplines. • Review drawings, specifications, and IFC documents to identify cost impacts and potential variations. • Prepare and submit variation orders with full technical and commercial substantiation. • Support tendering activities including pricing, bid analysis, and commercial evaluations. Claims & Variations Management • Prepare comprehensive contractual claims including EOT, cost claims, disruption claims, and prolongation claims. • Compile supporting documentation such as cost records, site reports, correspondence logs, and programme impacts. • Draft and issue claim submissions and variation notifications to clients in accordance with contract requirements. • Engage in negotiations with clients and consultants to secure favourable commercial outcomes. • Maintain a structured claims and variations register with real‑time updates. Risk Management • Identify commercial and contractual risks and propose mitigation strategies. • Monitor potential exposure related to delays, design changes, procurement issues, and site conditions. • Support management in developing risk‑response plans and commercial safeguards. Coordination & Collaboration • Work closely with project managers, planning teams, procurement, and site teams to ensure alignment on commercial matters. • Participate in progress meetings and present commercial updates. • Liaise with clients, consultants, subcontractors, and internal stakeholders to ensure smooth contract execution. Qualifications & Experience • Bachelor’s degree in Quantity Surveying, Civil Engineering, or related field. • Minimum 8–12 years experience in contract administration and quantity surveying within construction or fit‑out projects. • Strong knowledge of FIDIC, UAE contract laws, and industry standards. • Proven experience in managing claims, variations, and final accounts. • Proficiency in cost‑management software and MS Office (Excel, Power BI preferred).
