The Role The Executive Assistant is responsible for providing comprehensive executive and business support to the Vice President – Commercial, ensuring the smooth execution of strategic priorities and day-to-day operations. The role serves as a key coordination point across teams by facilitating effective communication, monitoring business initiatives, preparing reports and presentations, and supporting informed decision-making. Acting as a trusted extension of the Vice President – Commercial, the incumbent will proactively follow up on key business actions, coordinate executive meetings and travel, manage schedules and priorities, and maintain effective relationships with internal and external stakeholders. The role requires a high level of professionalism, discretion, business acumen, and the ability to operate effectively in a fast-paced commercial environment. What You Will Be Doing • Manage the Vice President's calendar, meetings, priorities, and day-to-day executive activities. • Follow up with Country Vice Presidents and senior stakeholders on agreed actions, deliverables, and deadlines. • Prepare executive summaries, presentations, reports, dashboards, and meeting briefing materials. • Track commercial performance indicators and highlight key business trends, risks, and opportunities. • Coordinate leadership meetings, prepare agendas, and monitor closure of action items. • Liaise with internal and external stakeholders on behalf of the Vice President while ensuring professionalism and confidentiality. • Support business initiatives, projects, and research activities as required. • Organize domestic and international travel arrangements, including flights, accommodation, itineraries, visas, and meeting schedules. • Manage expense claims, invoices, and related administrative documentation. • Proactively identify issues, anticipate business needs, and recommend practical solutions to improve efficiency and execution. Our Ideal Match • Bachelor's degree in any discipline is mandatory. • Approximately 3–5 years of experience as an Executive Assistant or in a similar role supporting senior leadership. • Experience in a commercial, regional, or multi-business environment would be advantageous. • Strong command of English is essential; Arabic is an advantage. • Tech-savvy with the ability to quickly learn and utilize digital tools and systems. • Demonstrated ability to engage with senior stakeholders, manage follow-ups, and ensure deliverables are completed. • Experience supporting projects, business initiatives, or process improvement activities would be beneficial. • Willingness to travel occasionally for business requirements, both locally and internationally.
