Job Responsibilities Provide administrative and secretarial support to executive management by managing schedules, coordinating meetings, handling correspondence, preparing reports, maintaining confidential records, and ensuring the efficient operation of the executive office. Key Responsibilities • Manage executive calendars, appointments, and travel arrangements. • Organize meetings, prepare agendas, and record meeting minutes. • Prepare and manage correspondence, reports, presentations, and other documents. • Screen phone calls, emails, and visitors. • Maintain confidential files and executive records. • Coordinate communication between management, employees, clients, and external stakeholders. • Follow up on action items and ensure timely completion of assigned tasks. • Organize business travel, accommodation, and logistics. • Support management with administrative tasks and special projects. • Ensure compliance with company policies and maintain confidentiality. Safety and Quality Responsibilities • Adhere to company safety policies and promote a safe working environment. • Report unsafe conditions, incidents, or near misses immediately. Competencies Required Education: Bachelor's degree in Business Administration, Management, Human Resources, or a related discipline. Experience5–8 years of experience as an Executive Assistant, Executive Secretary, or Office Manager supporting senior executives within Engineering, Oil & Gas, EPC, Industrial Services, or similar industry. Technical Skills: Microsoft Office (Word, Excel, PowerPoint, Outlook). Personal Skills: Ability to work under pressure, maintain confidentiality, and demonstrate strong organizational, communication, and time management skills.
