Our client is seeking a highly organized and professional Executive Assistant to provide comprehensive administrative and strategic support to the Managing Director. In this role, you will act as the primary point of contact for internal and external stakeholders, managing complex calendars, coordinating high-level meetings, and streamlining daily operations. The ideal candidate will possess exceptional communication skills, maintain strict confidentiality, and demonstrate the ability to anticipate needs in a fast-paced corporate environment. Job responsibilities will include: • Manage and maintain the Managing Director's intensive daily calendar, including scheduling appointments, coordinating executive meetings, and prioritizing urgent requests. • Serve as the gatekeeper and primary liaison between the Managing Director, internal department heads, and key external corporate partners. • Coordinate complex international and domestic travel itineraries, including flights, accommodation, visas, and detailed day-to-day agendas. • Prepare, edit, and proofread high-level business correspondence, confidential reports, presentations, and meeting minutes with absolute precision. • Organize and facilitate executive-level board meetings and workshops, ensuring the timely distribution of agendas, pre-read materials, and logistics. • Track ongoing departmental projects, deadlines, and action items on behalf of the Managing Director to ensure corporate objectives are met. • Screen, prioritize, and route incoming communications, phone calls, and emails, responding independently to routine inquiries when appropriate. • Handle sensitive corporate documents, employee files, and business data with the highest level of discretion and professional confidentiality. Skills and qualifications required: • Bachelor's degree in Business Administration, Management, or a related field from an accredited institution is mandatory. • A minimum of 2 to 3 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role supporting senior executive management. • Exceptional command of written and spoken English, paired with advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). • Strong organizational, time-management, and multitasking abilities, with a proven track record of handling high-pressure situations seamlessly.
