ResponsibilitiesWarehouse Operations Management · Supervise daily warehouse activities, including receiving, inspection, storage, picking, packing, and dispatch operations. · Ensure goods are received, inspected, recorded, and stored correctly. · Monitor order preparation to meet agreed dispatch schedules. · Ensure dispatch documentation and processes are completed accurately. Inventory Management, Stock Aging & Valuation · Conduct regular inventory cycle counts and stock reconciliations. · Investigate and resolve discrepancies between physical and system stock. · Ensure accurate and up-to-date inventory records are maintained in the warehouse system. · Support annual stock audits, internal checks, and inventory reconciliation activities. · Prepare regular stock aging reports to identify slow-moving, non-moving, and long-term inventory stored in the warehouse. · Maintain a physical stock condition report for aged and long-term inventory to ensure the condition of stock is properly considered during management and valuation reviews. · Prepare regular stock valuation reports and coordinate with Finance on inventory reconciliation. · Support Finance in maintaining accurate inventory values, Cost of Goods Sold (COGS) calculations, and financial reporting. · Highlight damaged, obsolete, expired, or unsaleable inventory for management review and appropriate action. Warehouse Layout & Space Optimization · Optimize the warehouse layout for efficient storage, handling, and movement of goods. · Improve storage capacity utilization without compromising safety or accessibility. · Organize inventory to reduce picking time and improve workflow efficiency. · Implement appropriate storage methods based on product type, movement frequency, size, and handling requirements. Staff Supervision & Productivity · Supervise warehouse staff and assign daily duties and operational priorities. · Monitor staff productivity, attendance, and workflow efficiency. · Train staff on warehouse procedures, inventory controls, equipment handling, and safety practices. · Maintain discipline, accountability, and performance standards within the warehouse team. Safety, Compliance & Housekeeping · Ensure warehouse operations comply with applicable safety standards, company policies, and operating procedures. · Conduct regular safety inspections and ensure the safe handling and storage of goods. · Maintain cleanliness, organization, and proper housekeeping throughout the warehouse. · Ensure the proper and safe use of equipment, machinery, and material-handling tools. · Report safety risks, equipment faults, and operational hazards promptly. Order Fulfilment & Dispatch Coordination · Ensure customer orders are accurately prepared and dispatched on time. · Coordinate with logistics and delivery teams regarding delivery schedules and priorities. · Verify order quantities, product specifications, and dispatch documents before goods leave the warehouse. · Address delays, shortages, and order-fulfilment issues proactively. · Escalate operational issues that may affect customer delivery commitments. Loss Prevention & Control · Monitor inventory movements to prevent loss, theft, unauthorized usage, or incorrect stock handling. · Investigate incidents involving damaged, missing, expired, or lost stock. · Implement appropriate controls to reduce inventory loss, damage, and wastage. · Ensure damaged or rejected goods are properly identified, segregated, documented, and reported. Reporting & Coordination · Prepare regular warehouse performance reports covering inventory accuracy, order fulfilment, productivity, damages, and operational issues. · Provide management with stock aging, physical stock condition, and stock valuation reports at agreed intervals. · Coordinate with Finance to reconcile inventory records and resolve stock valuation discrepancies. · Coordinate with Procurement, Sales, Finance, and Logistics teams regarding stock availability, incoming shipments, customer orders, and dispatch schedules. · Provide timely updates on operational issues that may affect stock availability, inventory valuation, or order fulfilment. · Recommend corrective actions and operational improvements based on warehouse and inventory reports.
