Senior Executive Assistant Office of the CEO | Intell Global Group Dubai, UAE | Full Time About the Opportunity Intell Global Group is seeking an exceptional Senior Executive Assistant to work directly alongside the CEO, providing executive support while helping strengthen organisation, communication and operational effectiveness across a growing international group of companies. This is not a traditional Executive Assistant role. We're looking for someone who wants to become a trusted partner to the CEO - someone who enjoys creating order from complexity, improving how businesses operate and ensuring that great ideas become completed actions. Initially, your focus will be on delivering exceptional executive support. The Purpose of the Role The CEO's role is to lead the business, develop people, build relationships, create opportunities and drive long-term growth. Too often, growing businesses become dependent on their CEO remembering every action, chasing every deadline, reviewing every document and coordinating every decision. This role has been created to change that. Your purpose is to remove operational noise from the CEO, ensuring executive priorities continue moving forward while maintaining the highest standards across the business. Once the CEO delegates a task, you'll ensure it remains visible, coordinated and progressing until completion. Success in this role will be measured by the CEO's ability to spend more time leading the business and less time managing it. The Role Working directly with the CEO, you'll become the organisational hub of the Office of the CEO. You'll provide first-class executive support while helping ensure communication is clear, priorities remain organised, actions are followed through and business standards continue to improve. You'll become someone the CEO can rely upon completely. Whether the CEO is in the office or travelling internationally, you'll help ensure the business continues to move forward with professionalism, consistency and momentum. Key Responsibilities Executive Support • Proactively manage and prioritise the CEO's inbox. • Draft professional correspondence, client emails and executive communications. • Manage the CEO's diary, meetings and executive priorities. • Coordinate travel arrangements and executive logistics. • Prepare agendas, presentations and meeting documentation. • Produce concise executive briefings highlighting priorities, decisions required and outstanding actions. • Act as the first point of coordination for matters requiring the CEO's attention. • Protect the CEO's time by ensuring information is prioritised appropriately. Executive Coordination & Accountability You'll become responsible for maintaining momentum across executive priorities. Responsibilities include: • Tracking actions delegated by the CEO. • Coordinating follow-up across departments. • Monitoring agreed deadlines and commitments. • Following up on reports, proposals, drawings, CRM updates and key deliverables. • Preparing outstanding action trackers. • Supporting managers in delivering agreed commitments. • Escalating issues requiring executive decisions. • Ensuring important actions remain visible until completed. Your role is not to manage departments. Your role is to ensure executive priorities continue moving forward. Business Standards & Continuous Improvement Working directly with the CEO, you'll help strengthen how the business operates. Responsibilities include: • Developing and maintaining Standard Operating Procedures (SOPs). • Supporting the implementation of improved business processes. • Coordinating internal approval workflows. • Helping maintain document quality and presentation standards. • Supporting proposal approval processes, ensuring documentation is reviewed by the relevant Project Manager and General Manager before issue. • Supporting CRM compliance and reporting standards. • Identifying opportunities to improve efficiency, organisation and communication across the Group. Over time, you'll become a key contributor to the continual improvement of the business. Executive Reporting Clear information drives better decisions. You'll prepare concise, professional reports that enable the CEO to understand the business quickly and make informed decisions. This includes: • Weekly operational summaries. • Sales and pipeline reports. • KPI dashboards. • Outstanding action reports. • Executive presentations. • Meeting minutes. • Business performance summaries. You'll be able to transform information from multiple departments into reports that are accurate, concise and professionally presented. Working Relationship The CEO travels regularly throughout the UK, UAE and internationally. During these periods you'll be trusted to maintain momentum across executive priorities with minimal supervision. You'll coordinate communication, monitor progress, follow up on commitments, maintain business standards and ensure priorities continue moving forward. You'll know when to make decisions independently, when to seek guidance and when matters require escalation. The measure of success is not how often you ask for direction.
