We are seeking a highly professional, emotionally intelligent, and service-oriented Receptionist who genuinely loves animals to join our team and serve as the first point of contact for our clients and their pets. Role Summary The Receptionist plays a key role in managing client experience and front-desk flow across our pet services ecosystem, in a fast-paced, animal-centered environment. This is not just an administrative role — it requires strong emotional intelligence, professionalism under pressure, attention to detail, comfort around animals of all sizes and temperaments, and a genuine commitment to service excellence. Above all, this is an outward-facing, relationship-first role: we're looking for someone who builds real rapport with clients and their pets over time, not just someone who processes transactions. Key Responsibilities 1. Client Relationships & Front Desk Management • Build genuine, lasting relationships with clients and their pets — this is the heart of the role, not a side effect of it • Greet clients — and their pets — in a professional, calm, and welcoming manner • Remember client and pet preferences, histories, and quirks to personalize every visit • Proactively check in with regular clients and follow up after appointments or stays • Manage phone calls, WhatsApp messages, emails, and inquiries • Schedule, confirm, and coordinate appointments and bookings across our services • Provide accurate information about our full range of services • Ensure every client interaction reflects professionalism and care 2. Service Coordination Support • Coordinate between groomers, trainers, boarding/daycare staff, veterinary teams, and clients • Manage client and pet flow, and appointment prioritization • Provide empathetic updates to clients regarding their pets' stay or visit • Support smooth daily operations and reduce waiting times 3. Administrative Excellence • Maintain accurate client and pet records • Ensure proper documentation, filing, and data entry • Support reception systems, emails, and administrative coordination • Maintain high standards of organization and accuracy • Use booking systems, WhatsApp automation, and other AI-powered tools as part of daily workflow 4. Billing & Financial Processing • Process invoices, payments, and receipts accurately • Maintain transaction records and financial documentation • Support basic reporting and bookkeeping tasks • Ensure transparency and accuracy in all transactions 5. Environment & Service Standards • Maintain a clean, calm, and professional reception area • Ensure clients and pets feel safe, comfortable, and supported • Uphold our service standards in communication and behaviour • Promote a culture of teamwork and service excellence • Be comfortable and confident around dogs and cats of all breeds, sizes, and temperaments throughout the workday 6.
