Requires strong communication skills, flexibility, excellent interpersonal skills, coordination experience, and the ability to work well with all levels of internal management and staff, as well as government agencies. Roles & Responsibilities: Provide staff administrative support to the site management team (PGM, OM, MM). Ensure that all work is undertaken in compliance with the systems, structures, standards and policies set by the Company. Can be trusted with sensitive and confidential matters as may be required. Maintain confidentiality and security of Company and employee documents. Assist and support the processing of all new employees to site. Manage immigration and labour processes for employees and their dependents, collating employee’s documents, accurately preparing applications, applying for entry permits, employment visas, labour cards, residence visas and collecting documents. Manage the renewal of visa process for employees and their dependents to avoiding expiration or travel limitations. Manage the cancellation of visa process for employees and their dependents to ensure visas are cancelled in an appropriate manner. Guide employees and their dependents through immigration and visa processes, ensuring that regular updates are given, a transparent process is communicated and followed, enquires are managed promptly and efficiently and a best in class level of service is delivered. Assist staff in medical and figure scan requirements for visa applications, support with planning and travel arrangements. Support with all government agency incoming and outgoing communication (all official communication, documents, letters, and post). Liaise with Dubai HO for arranging travel documents, and other requirements as may be requested by the site management team. Liaise and assist staff with document attestation requirements, support with arranging attestation of employee certificates and arrange attestation in the UAE with the MOFA. Provide advice to employees on local authorities and government body processes such as residence visas for families, driving license, car registrations, etc. Provide assistance with stakeholder management with local government bodies, agencies, and institutions (example schools and universities, etc.). Assist the site team with liaison with schools and other entities. Maintain an up to date database of passports and residence visas, and their renewal. Produce letters for employees required to be drafted in Arabic. Perform other duties as assigned by the site management team, with effective resource utilization. Job Specifications: Education: Bachelor degree in business or related subject . Minimum Experience: 5 Years in similar position Preferable Experience: 8 years’ experience in the UAE Required Skills: Awareness of NOMAC Quality, Occupational Health & Safety and Environment Management system principles Excellent communication skills in English & Arabic Language. Computer literate. UAE Driving license . Desired certification / Job specific skill / Training: Be able to work on their own and with others effectively Be able to use other IT systems for planning and documentation management. Work Condition: Working conditions are normal for an office environment at a site location. Work will require travel to the reginal HO, and other government and institutional agencies.
