Job Description

This role is responsible for managing theatre bookings, coordinating surgical schedules with surgeons and anesthesiologists, confirming patient appointments, verifying insurance approvals, and ensuring effective communication between all stakeholders to maximize operating room utilization and deliver an outstanding patient experience.

Requirements

Requirements Education & Experience

Bachelor's degree preferred.
Minimum 2 years of experience in a hospital or healthcare environment.
Previous experience in scheduling, patient coordination, medical administration, reception, or a similar role preferred.
Good understanding of medical terminology.
Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).

Key Responsibilities Surgical Scheduling & Coordination

Coordinate and manage operating theatre bookings and daily surgical schedules.
Liaise with surgeons, anesthesiologists, theatre managers, and clinical teams to ensure smooth scheduling of procedures.
Contact patients to confirm surgery dates, arrival times, and pre-operative requirements.
Verify insurance approvals and ensure all necessary documentation is in place.
Ensure patients attend pre-anesthesia consultations prior to surgery.
Coordinate with relevant departments to ensure required equipment, supplies, and support services are available for procedures.
Communicate daily operating theatre schedules to all relevant stakeholders.

Administrative Support

Maintain accurate booking records and document surgery cancellations and associated reasons.
Provide administrative support to the Operating Theatre team.
Conduct patient follow-ups and gather feedback on perioperative experiences.
Ensure accurate data entry and reporting within hospital systems.

Communication & Collaboration

Foster effective communication between surgeons, anesthetists, nursing staff, patients, and supporting departments.
Work collaboratively within a multidisciplinary healthcare environment.
Prioritize competing demands and respond effectively in a fast-paced setting.
