Beginning of the main content section.Return to the home pagePrintable Format Job Description - Administrative Officer – Field Visit Affairs (26003061)Job Description Administrative Officer – Field Visit Affairs - (26003061) Job Description IntroductionThe Government of Dubai Legal Affairs Department (the “Department”) is seeking to recruit ambitious professionals to work within the Licensing Affairs Section of the Lawyers and Legal Consultants Affairs Department, contributing to the coordination and follow-up of administrative and organizational activities related to field visits, and supporting the implementation of the Section’s duties and responsibilities, in accordance with the applicable systems and approved procedures.Key Duties and ResponsibilitiesCoordinate and prepare field visit activities related to the responsibilities of the Section, in accordance with the approved plans, procedures, and controls.Prepare lists and data of cases requiring field visits and verify the completeness of the necessary documents and information prior to conducting the visit.Coordinate with relevant employees and organizational units to schedule field visits, organize schedules, and follow up on their implementation in accordance with the approved plans.Provide the necessary administrative and organizational support to employees assigned to conduct field visits, and follow up on the completion of related documents and data.Follow up on the results of field visits and update observations, data, and actions taken in the approved systems and records, in accordance with the applicable instructions and procedures.Prepare and update periodic statements, reports, and statistics related to field visit activities, including the number of visits conducted, outstanding cases, and actions taken in relation thereto.Maintain, organize, and archive documents and records related to field visits, ensuring easy access to them in accordance with the approved procedures.Coordinate and follow up with the relevant organizational units regarding cases resulting from field visits, and follow up on the completion of the required procedures.Coordinate meetings related to the responsibilities of the Section, prepare meeting minutes, and follow up on the implementation of recommendations and decisions issued in relation thereto.Take the initiative to provide improvement and development proposals related to the organization and follow-up of field visit activities, contributing to enhancing the efficiency of procedures and quality of work.Perform any other duties related to the nature of the position as assigned by the direct supervisor, Department Manager, or Director General.Key Administrative Duties and ResponsibilitiesComply with the information security policies approved by the Department.Comply with all circulars issued by the Department regarding attendance and working hours, ensuring that assigned tasks are completed within the required time, quality, and efficiency standards. Qualifications Academic Qualifications and Years of ExperienceBachelor’s degree in Business Administration, Administration, or any related field.3 to 5 years of practical experience in administrative work, coordination and follow-up, or any related field.Required Skills (Technical and Behavioral Competencies)Ability to coordinate, follow up, and organize field visit activities and schedules.Ability to collect and organize data and prepare reports, statements, and statistics.Ability to plan, organize, manage time, and prioritize tasks.Effective communication, coordination, and teamwork skills.Ability to analyze problems and propose appropriate solutions.Proficiency in using computer applications and technological systems relevant to the work.Accuracy, attention to detail, and ability to follow up on task completion.Initiative and ability to provide improvement and development proposals.
