We are looking for Senior Operations Manager, responsible for overall operation in the warehouse, direct inbound and outbound process of the logistics operations including Receiving goods, inventory management, Storage, Dispatching, control/maintenance of the warehouse facility and goods under the recommended condition. Key Accountabilities: • Responsible for receipt of goods and making sure that the goods received correspond to the goods invoiced. • Checking of goods for quality defects and damages and erroneous quantities delivered. Be responsible for especially receiving Air and sea shipment, informing management with any problems encounter at the reception- quantity, quality, etc. • Ensuring that each of the item is weighed (total weight and not the weight indicated in the items) as this is crucial for costing purposes. Storing of goods according to a predefined system of First in First out and ensuring that the goods are placed in the right shelves and racks. • Monitoring expiry dates, providing weekly report to management.(Every morning to be sent to: FM, GM, SM) Saturday • Ensuring that each item is coded according to the pre-defined coding system used. The items should be labeled prior to them being stored in shelves, racks, freezers Ensuring that all products within the store is safe secure and controlled. Responsible for the stock. • Responsible for the stock • Ensure that no product leaves the store without a valid authorized document. All movements of goods within / to / from store should be authorized and controlled by way of documentation • Be responsible for the vehicles and scheduling of vans, trucks and allocating the deliveries to meet the customer –at the right time, right quantity, and quality • Familiarity with all the company products that are sold and the different types of storing systems used by suppliers and vendors. (e.g. certain products stored in jars with Water, Buffalo cheese) • Having an idea as to who the Company customers are. • Ensuring that the deliveries are dispatched promptly to the customer. Close interaction with the delivery staff is required for this. • Ensuring that the quantities are controlled at time of dispatch and that no security lapses take place. • Delivery returns should be inspectedwith the reasons and send the delivery return report to the managers sales ,customer service for their action and the invoices and the relevant documents to the finance to updatetheir accounts. • Ensuring that the exact product ordered by way of the sales invoice is actually delivered. • Specific emplacement for the orders after picking for the afternoon and the following day delivery • Ensuring that all documentation with regard to dispatch is filed according to the agreed filing system and prompt sending of the signed invoices to finance dept. • Ensuring that any equipment within the store is maintained, repaired and replaced when needed. • Ensuring that the store is kept organized and clean at all times. Daily cleaning is essential. All vehicles should be cleaned on Thursday. • Supervision of all transport vehicles, their scheduling and departure procedures etc. Interaction with SM for specificity. • Ensuring no smoking in the warehouse and general hygiene • Managing product disposal process and informing management accordingly subsequent prior approvals. • Development, training, direction for other warehouse staff and their job descriptions. • The SAP stock and the physical stock should be tally at all the time, therefore spot checks stock counts has to be carried at a regular intervals • Routine stock take for sensitive products and random • Ensuring staff wear proper uniforms and security shoes. • Ensuring keys to warehouse are held securely • Close interaction and cooperation with Accounts, reception, managers and any other staff that requires interaction. Using email for all communication. • Represent the food safety team, recall team and emergency response team and to involve all the activities of particular teams • Supervision of Security staff- implementation of security policies. • Maintenance and repairs of building and equipment’s and AMC contracts. Ensure proper documentation for all dispatches and maintain filing systems; coordinate with Finance, Sales, Customer Service, and Accounts. Maintain equipment, cleanliness, and security; supervise transport, security staff, and warehouse maintenance; uphold food safety, recall, and emergency response responsibilities; develop and train warehouse staff; perform regular stock checks against SAP; conduct routine stock takes for sensitive and random items; ensure uniform and PPE compliance; manage supplier and customer interactions for warehouse operations.
