This role plays a key part in driving operational excellence by ensuring accurate KPI reporting, supporting technical training initiatives, managing service contracts, coordinating procurement activities, and maintaining workshop assets and special tools. The successful candidate will work closely with Service Operations, Warranty, Contracts, Technical Training teams, suppliers, and external stakeholders to enhance workshop efficiency, ensure compliance with quality standards, and deliver exceptional service support. What You Will Do As a Service Administrator, you will: - Ensure timely and accurate reporting of service KPIs, including technician productivity and utilization reports. - Support Technical Training activities, including administration, delegate coordination, follow-up, and stakeholder communication. - Manage the procurement process for tools, equipment, and special service tools, including supplier evaluation, sourcing, and contract negotiations. - Coordinate with principals, Warranty, Contracts, and Service teams to provide operational support and technical feedback. - Monitor and maintain workshop assets, ensuring proper upkeep, calibration, replacement planning, and compliance with company standards. - Oversee service administration functions including invoicing, receivables, and Work-in-Progress (WIP) monitoring. - Support Warranty and Contract departments by providing operational and administrative assistance. - Administer service contracts, including proposal preparation, contract issuance, renewals, closures, monthly billing, and customer reporting. - Ensure compliance with ISO quality, safety, and environmental standards across service operations. - Contribute to continuous improvement initiatives that enhance workshop efficiency and productivity. Required Skills to Be Successful - Strong analytical, organizational, and problem-solving skills. - Excellent communication and stakeholder management capabilities. - Advanced proficiency in Microsoft Office applications, particularly Excel and reporting tools. - Experience in KPI tracking, data analysis, and management reporting. - Knowledge of procurement processes, supplier management, and contract negotiation. - Ability to manage multiple priorities while maintaining high levels of accuracy and attention to detail. - Strong understanding of service operations, workshop environments, and customer service principles. What Equips You for the Role - Diploma or Bachelor's Degree in Automobile Engineering, Mechanical Engineering, or a related technical discipline. - Minimum of 5 years' experience within an automotive, engineering, or retail distributor environment. - Proven experience working with manufacturer standards, quality systems, and service programs. - Demonstrated ability to gather workshop data, analyze performance metrics, and prepare KPI reports for management. - Experience supporting service operations, technical training, warranty administration, or contract management functions. - Strong commercial awareness with exposure to procurement, supplier management, and asset control.
