## Description

Key Responsibilities

• Maintain and control the project document management system, including document registration, numbering, filing, revision control, and distribution.

• Receive, log, issue, and track drawings, technical documents, submittals, reports, correspondence, minutes of meetings, and transmittals.

• Ensure that all project documents are properly coded, reviewed, approved, and distributed to the relevant internal and external stakeholders.

• Manage document workflows through the applicable DMS / EDMS platform and ensure timely routing of submissions, reviews, responses, and approvals.

• Maintain accurate registers for incoming and outgoing documents, RFIs, submittals, letters, drawings, and project deliverables.

• Coordinate with the Project Manager, Project Director, technical team, consultants, contractors, and client representatives to ensure proper document control flow.

• Monitor document status, overdue actions, and pending reviews, and provide regular updates to the project team.

• Ensure that superseded documents are clearly identified and that only the latest approved revisions are issued for use.

• Support project close-out by compiling final records, handover documentation, as-built documentation, and archive files as required.

• Maintain confidentiality and ensure that project records are handled in accordance with company and client requirements
