ABOUT THE ROLE

Oryx Signature is seeking an experienced, commercially driven and highly organized Procurement & Vendor Management Specialist with proven experience in Marketing, Corporate Events, International Roadshows, Exhibitions, Brand Activations and Event Production.

The ideal candidate will have an established network of reliable suppliers, strong negotiation capabilities and extensive knowledge of the events and marketing industry across the UAE and international markets.

This role goes beyond traditional procurement. We are looking for someone who understands the commercial and operational requirements of creative campaigns, large-scale events, exhibitions and international roadshows, and who can secure the right suppliers, negotiate competitive commercial agreements and ensure successful project delivery.

🔑 KEY RESPONSIBILITIES

1. Strategic Procurement & Sourcing

• Lead end-to-end procurement for marketing campaigns, corporate events, exhibitions, international roadshows, brand activations and special projects.

• Source, evaluate and appoint qualified suppliers, vendors, contractors and service providers across the UAE and international markets.

• Obtain competitive quotations, prepare detailed commercial comparisons and recommend cost-effective procurement solutions.

• Negotiate supplier pricing, payment terms, contractual conditions, project deliverables and service-level agreements.

• Identify opportunities for strategic partnerships, preferred supplier agreements and long-term commercial relationships.

2. Vendor Management & Supplier Relationships

• Develop and maintain a comprehensive database of approved local and international suppliers.

• Establish strong relationships with event production companies, fabrication contractors, exhibition stand builders, creative agencies and marketing service providers.

• Manage suppliers across audiovisual and lighting (AVL), staging, technical production, printing, branding, signage, digital displays and event infrastructure.

• Source and manage hotels, event venues, transportation providers, freight companies and other service providers required for international roadshows.

• Evaluate vendor performance based on pricing, service quality, reliability, responsiveness and delivery standards.

• Manage supplier negotiations, disputes, service deficiencies and corrective actions.

3. Marketing, Events, Roadshows & Exhibitions Procurement

• Coordinate procurement requirements for integrated marketing campaigns, promotional activities, corporate events and experiential brand activations.

• Source exhibition contractors, stand fabrication companies, installation teams and technical production suppliers.

• Coordinate international roadshow requirements, including hotel venues, conference facilities, AVL equipment, branding, transportation and local service providers.

• Procure creative production services, promotional merchandise, printing, signage, display materials and branded installations.

• Support sourcing for photography, videography, content production and other outsourced marketing services.

• Ensure all procurement activities align with approved creative concepts, technical specifications, project budgets and delivery schedules.

4. Commercial Negotiations & Cost Management

• Prepare detailed quotation comparison sheets and commercial evaluation reports.

• Negotiate competitive rates while maintaining the required quality and delivery standards.

• Develop project-specific procurement budgets in coordination with Finance and the relevant project teams.

• Identify cost-saving opportunities through competitive sourcing, supplier consolidation and strategic negotiations.

• Maintain transparency in supplier selection, procurement approvals and commercial transactions.

• Ensure suppliers deliver according to agreed contractual obligations, approved budgets and project timelines.

5. Procurement Operations & Documentation

• Manage purchase requests, purchase orders, supplier agreements, quotations and procurement approvals.

• Maintain accurate procurement records, commercial documentation and supplier correspondence.

• Coordinate with Finance regarding supplier invoices, payment milestones and financial reconciliation.

• Monitor procurement schedules and ensure timely delivery of contracted goods and services.

• Maintain appropriate confidentiality, procurement controls and professional ethical standards.

6. Project Coordination & Vendor Performance

• Collaborate closely with the Marketing, Creative, Events, Production, Operations and Finance departments.

• Attend project planning meetings, supplier briefings and commercial negotiations.

• Ensure vendors understand the complete project scope, specifications, deadlines and delivery expectations.

• Conduct supplier follow-ups, performance reviews and quality assessments.

• Identify procurement-related risks and implement practical solutions before they affect project execution.

• Support on-site vendor coordination during event setup, live operations and dismantling when required.

🎯 WHAT WE’RE LOOKING FOR

Essential Qualifications & Experience

✔ Minimum 3–5 years of relevant experience in procurement and vendor management, preferably within marketing agencies, event management companies, exhibitions or experiential marketing.

✔ Proven UAE procurement experience and a strong understanding of the regional events and marketing industry.

✔ An established network of suppliers and contractors across event production, exhibition fabrication, AVL, branding, printing, marketing and hospitality.

✔ Demonstrated experience sourcing and negotiating with vendors for corporate events, exhibitions, brand activation

## Requirements

✔ Minimum 3–5 years of relevant experience in procurement and vendor management, preferably within marketing agencies, event management companies, exhibitions or experiential marketing.
✔ Proven UAE procurement experience and a strong understanding of the regional events and marketing industry.
✔ An established network of suppliers and contractors across event production, exhibition fabrication, AVL, branding, printing, marketing and hospitality.
✔ Demonstrated experience sourcing and negotiating with vendors for corporate events, exhibitions, brand activations and roadshows.
✔ Strong commercial negotiation skills with the ability to achieve competitive pricing without compromising quality.
✔ Experience managing multiple procurement requirements and vendors across simultaneous projects.
✔ Excellent Microsoft Excel skills, including quotation comparisons, procurement trackers, budgeting and commercial reporting.
✔ Strong knowledge of purchase orders, supplier contracts, procurement documentation and approval processes.
✔ Excellent communication, relationship management and problem-solving skills.
✔ Strong attention to detail, commercial awareness, integrity and accountability.
✔ Excellent written and spoken English.
