## Description

Job Purpose

The Warehouse Manager ensure all stock, materials, fiscal stamps, consumables, equipment and spare parts are available, stored, prepared and delivered on time, in the required quantity and quality, to internal and external clients. Guarantee end‑to‑end warehouse, distribution, logistics and inventory management, fully aligned with O&S standards, HSE norms, security protocols and local regulations.

Key responsibilities:

A. Warehouse Operations & Stock Management

• Ensure accurate stock management for inks, raw materials, consumables, fiscal stamps, solutions and spare parts.

• Guarantee products and tools are available for production.

• Oversee receiving, inspection, unloading, and verification of inbound shipments.

• Ensure proper storage, labeling, batch tracking and organization of inventory.

• Conduct regular inventory counts, spot checks, cycle counts and reconciliation.

• Manage physical stock on site and in external storage locations.

• Ensure FIFO/FEFO and secure handling of sensitive/high‑security materials

B. Distribution & Order Preparation

• Manage internal distribution of materials across departments and production lines.

• Oversee picking, packing, conditioning and preparation of orders according to O&S secure area norms.

• Ensure timely delivery of equipment, spare parts and consumables to all sites per installation plans, forecasts and maintenance needs.

• Release finalized outbound orders and coordinate truck loading with proper documentation.

• Guarantee compliance with dangerous goods regulations (DGR) and secure handling protocols

C. Inbound & Outbound Logistics Management

• Oversee international shipments, customs clearance and transportation to relevant sites.

• Manage local deliveries between sites, ensuring operational continuity.

• Maintain manual and electronic records of all movements (goods receipts, delivery notes, transfer orders).

• Oversee reverse logistics for defective, surplus or obsolete equipment.

• Maintain up‑to‑date knowledge of import/export requirements and dangerous goods regulations

D. Forecasting & Procurement Coordination

• Conduct rolling 12‑month forecasting for paper stamps, digital stamps, liquids and consumables.

• Communicate forecasts to O&S for production and delivery planning.

• Forecast spare parts and consumables needs and place orders with HQ or local suppliers.

• Raise PRs and issue POs once approved by management.

• Maintain vendor database with ratings and performance indicators

E. Inventory Management & Compliance

• Define and implement processes and systems for inventory management across equipment, spare parts and consumables.

• Track movements, goods issues, reordering and inventory control throughout lifecycle.

• Jointly conduct monthly inventory counts of paper stamps with the client.

• Manage dangerous goods inventories in compliance with local regulations.

• Guarantee HSE norms compliance and secure area rules

F. People Management & Leadership

• Set measurable, time‑bound priorities for team leaders and operators.

• Monitor execution using KPIs and dashboards.

• Remove barriers to collaboration across departments.

• Train new operators and ensure best working practices.

• Build succession plans, identify high potentials and support capability development.

• Ensure safe working conditions and enforce PPE usage.

• Manage simple improvement projects and support change management

G. Stakeholder Coordination & Reporting

• Coordinate with internal clients: Value Chain, R&D, IT, Finance.

• Manage relationships with external suppliers, freight forwarders and external warehouses.

• Provide detailed status reports on supply chain activities, consumption trends, inventory results and secure supply chain operations.

• Support general management tasks and contribute to commercial activities when required

3. Key Performance Indicators (KPIs)

• Measures accuracy between physical stock and system records, including cycle counts, reconciliation and dangerous goods compliance

• Tracks timely completion of inbound processing, internal distribution and outbound deliveries to all sites and clients

• Evaluates correctness of picking, packing, secure‑area compliance and documentation (GRN, delivery notes, transfer orders).

• Measures accuracy of 12‑month forecasts, PR/PO processing time, supplier performance and material availability

• Monitors safety compliance, incident rate, PPE usage, training completion and overall team output vs targets

• Adherence to warehouse Standard Operating Procedures.

Qualifications & Experience

• University degree or technical training in Logistics, Supply Chain, Industrial Operations or related field

• Minimum 6–10 years’ experience in warehouse, logistics, inventory or supply chain management

• Prior management experience required with demonstrated ability to lead and create a high-performance team and culture

• Experience in managing shift work is advantageous

• Forklift operator and / or other MHE licensed operator (working at heights required)

Skills & Competencies

• Mastery of warehouse operations, logistics processes, inventory control, secure‑area norms, SAP MM/WM, dangerous goods handling (IATA/DGR)

• Ability to forecast material needs, analyze consumption trends, optimize inventory levels, and make data‑driven decisions using ERP systems and advanced Excel tools

• Highly computer literate, proficient in MS Excel, Word and Outlook

• Skill in supervising teams, setting priorities, training operators, enforcing SOPs, motivating staff, and driving continuous improvement across warehouse and logistics functions

• Excellent interpersonal skills to coordinate with internal departments

• External: Suppliers & Vendors, Logistics Partners, Regulatory & Compliance Bodies, Service Contractors

• Internal: Operations Director, Procurement Team, Production / Factory Team, Quality Control (QC), Engineering & Maint

## Requirements

University degree or technical training in Logistics, Supply Chain, Industrial Operations or related field. Minimum 6–10 years’ experience in warehouse, logistics, inventory or supply chain management.
